Add a new Shift

What is a ¡§Shift¡¨

In ecTA / ecPayroll system, generally, a ¡§Shift¡¨ is a core, basic unit which represents the timetable of work duty (or off duty) in 1 single day. By assigning different Shifts with some ¡§Duty rules¡¨ to staffs, it forms the ¡§Duty Roster¡¨.

 

Below is an example of a classic duty roster where ¡§9-18¡¨, ¡§8-17¡¨, ¡§9-13¡¨, and ¡§OFF¡¨ are all defined by ¡§Shift¡¨ respectively. In this example, you just need to create total 4 Shifts. After that, these Shifts can be re-used in ¡§Duty rule¡¨ setup or ¡§Quick set¡¨

In each ¡§Shift¡¨ settings, there are many things can be defined by user such as:

l   Shift information

l   Start / End time of a work duty session in 1 day

l   Start / End time of a pre-approved Overtime session in 1 day

l   Calculation rules of lateness, early leave, and absence

l   ¡K (details will be covered in below section)

 

Let¡¦s see the steps below showing how to create a Shift:

 

Steps

1          Entering Day Duty Setup

 

2          Select  icon to add a new Duty

 

3          Type in Description. This description will be displayed on the time table setting and relevant report, so you need to type in a typical name such as¡¨9-6¡¨,¡¨Holiday¡¨etc.

 

4          Type in Time range. The effective time range for this rule entry.

4.1         Click  to add a Work Duty or Fix Hour Work Duty or Holiday or Over Time entry

5          Setting the time range start and end.

 

6          Setting:

6.1         Time range ¡V Daily Fix Hour Work Duty

l   Require punch card: This option enables the card punching checking during analysis. Employee didn¡¦t punch card within this period will result in ¡¥Forget Punch Card¡¦ or ¡¥Absent¡¦

l   Enable late: This option enables the late checking during analysis. Employee punch card later than Time Range defined previously plus allowance will result in ¡¥Late¡¦.

l   Enable early leave: This option enables the early checking during analysis. Employee punch card leave earlier than Time Range defined previously plus allowance will result in ¡¥Early¡¦.

l   Enable round-off: Round the final punch time to n minutes. For example, if n = 30, the final punch time, say 8:50AM, will be round up to 9:00AM. If the original time is 8:40AM, the final punch time will be round down to 8:30AM. The rounding is based on half down half up basis.

 

6.2         Fix Hour Work Duty ¡V Elastic working time, but fix working hour.

l   Time range: The effective time for this rule entry.

l   Enable Late: This option enables the late checking during analysis. Employee punch card later than Time Range defined previously will result in ¡¥Late¡¦.

l   Enable Early leave: This option enables the early checking during analysis. Employee punch card leave earlier than Time Range defined previously will result in ¡¥Early¡¦.

l   Work Hour: The required working hour for this object.

 

6.3         Holiday ¡V During the holiday , it need not punch card

l   Holiday type¡GSelect the type of holiday. Setting the type of holiday , please look Holiday Type Setup

 

6.4         Over time ¡V over work¡Ait only calculates the work in over time.

l   O.T Type¡GSelect the O.T Type¡CSetting O.T Type, please look OT Type Setup

l   O.T Bonus¡GSetting the relative point. O.T bonus can help you calculate the salary, and for the O.T reference.

l   Extra O.T minute¡GWhen the employee work during the O.T, the system will add the extra O.T minute for the employee automatically 

 

7          You can follow the instruction shown in the pervious section 5. Adding more time range or click  to delete

 

8          Click  to update the record.
